Financial Policy

By scheduling an appointment, you agree to the terms outlined below.

 

1. Payment Responsibility

Payment is due at the time of service unless otherwise agreed upon in advance.

You are responsible for:

  • Full payment of services

  • Any fees associated with late cancellations or missed appointments

 

2. Fees for Services

Current service rates are as follows:

  • Individual Preconception Nutrition Counseling (60 minutes): $150

  • Couples Preconception Nutrition Counseling (60 minutes): $180

  • Pregnancy Nutrition Counseling (60 minutes): $150

  • Postpartum Nutrition Counseling (60 minutes): $150

Fees are subject to change with notice.

 

3. Payment Methods

Accepted form of payment:

Payment information may be stored securely for convenience.

Please note about the use of HSA, FSA, HRA, or MSA Funds:
Per IRS guidelines, nutrition counseling may qualify as a reimbursable medical expense only when it is provided for the treatment of a specific disease diagnosed by a physician (e.g., diabetes or obesity). Services not associated with a diagnosed medical condition may not be eligible.

Clients are responsible for verifying eligibility with their benefits provider.

 

4. Insurance

Serene Seasons Nutrition LLC is a self-pay practice and does not bill insurance.

You may request a superbill to submit to your insurance provider for possible reimbursement. Reimbursement is not guaranteed.

5. Cancellation & No-Show Policy

Your appointment time is reserved specifically for you.

Cancellations made less than 24 hours in advance will incur a fee equal to 50% of the session cost. Missed appointments (no-shows) will be charged the full session fee.

One-time exceptions may be made at the provider’s discretion. Repeated missed appointments may result in discontinuation of services.

6. Late Arrivals

If you arrive past your scheduled appointment time:

  • Full session fees still apply

  • 10-minutes past the start of the scheduled appointment time, the session will be shortened

  • 20-minutes past the start of the scheduled appointment time, the session will be charged as a missed (no-show) appointment

 

7. Refund Policy

Payments for services are non-refundable.

Exceptions may be considered on a case-by-case basis.

 

8. Communication Between Sessions

Brief check-ins or clarifications may be included as part of your care.

Extended support outside of scheduled sessions may require:

  • Scheduling an additional session

 

9. Outstanding Balances

Any outstanding balances must be paid prior to scheduling future appointments.

 

10. Changes to This Policy

Serene Seasons Nutrition LLC reserves the right to update this Financial Policy at any time. Clients will be notified of any significant changes.
